Tietosuojaseloste kertoo millä tavoin Oy Winecellars Ab käsittelee ja suojaa sinun henkilötietojasi
sekä mitkä ovat sinun oikeutesi.

General Data Protection Regulation (GDPR)
GDPR is a European Union law intended to strengthen and unify data protection rules and rights
for the benefit of EU citizens. GDPR applies to EU organizations and to non-EU organizations (of
any size) that provide goods and services to the EU or that utilize tracking technologies (like
cookies or tracking pixels) to monitor EU users’ behaviour.

Oy Winecellars Ab hallitsee viinien säilytystiloja osakkeenomistajiensa lukuun ja edistää
viinikulttuuria. Toimintansa rahoittamiseksi yritys harjoittaa vuokraustoimintaa.
Oy Winecellars Ab kunnioittaa osakkaidensa, asiakkaidensa sekä sidosryhmiensä
yksityisyydensuojaa ja suojaa henkilötietoja voimassaolevan lainsäädännön mukaisesti.

Rekistereiden tietosisältö ja tietolähteet
a) Osakkeenomistajat
Oy Winecellars ylläpitää osake- ja osakasrekisteriä vallitsevan lainsäädännön mukaisesti sekä
valvoo osakkeenomistajiensa intressejä. Yritys pitää yhteyttä osakkaisiinsa puhelimitse, postitse,
sähköpostilla sekä muiden sähköisten kanavien kautta.
Osake- ja osakasrekisteri sisältää
• osakkaan tai tämän edustaman yhteyshenkilön nimi, postiosoite, puhelinnumero,
sähköpostiosoite
• laskutus- ja maksutiedot
Tietoja käytetään lainsäädännön mukaisesti
• laskutukseen ja maksun valvontaan
• osakaskirjeiden ja -tiedotteiden lähettämiseen sekä muuhun yhteydenpitoon
Tiedot kerätään manuaalisesti

b) Hallinnolliset henkilörekisterit
Työsuhteiden ja -velvoitteiden hoitamiseen Oy Winecellars ylläpitää tarvittavia henkilötietoja ja
säilyttää niitä lain velvoittamalla tavalla. Winecellarsin valtuuttamalla tilitoimistolla sekä yhtiön
tilintarkastajilla on osittain pääsy kyseisiin tietoihin voidakseen toteuttaa toimeksiantoansa.
c) Vuokraustoiminta - Henkilötiedot
Winecellars vuokraa tilojaan myös ulkopuolisille. Kyseisten asiakkaiden tiedot tallentuvat
laskutusjärjestelmään ja säilyvät kirjanpitolain velvoittaman ajan.
Tilapalvelutarjoajan kautta Winecellars saa tiedusteluja. Kyseiset asiakastiedot säilyvät heidän
sähköisessä hallintaohjelmassa.
d) Google Analytics ja verkkosivusto
Oy Winecellars Ab ylläpitää kotisivujaan sekä sosiaalisen median kanavia. Winecellarsin
ylläpitämään suljettuun ryhmään facebookissa on kutsuttu ainoastaan Winecellarsin osakkaita,
joilla on facebook-tili, sekä varmuuden takaamiseksi yrityksen valtuuttamia ylläpitäjiä.
Google Analyticsin kautta saatamme mitata kotisivujemme kävijämääriä sekä miten kävijät
löytävät ja käyttävät hallinnoimiamme eri sivuja. Näistä ei kuitenkaan kerry Winecellarsille
henkilötietoja.
Oy Winecellars Ab käsittelee henkilötietoja seuraavien periaatteiden mukaisesti
Tietojen säilytysaika
Rekisteröidyt tiedot säilytetään niin kauan kuin on tarpeen yllä määriteltyjen tarkoitusten
toteuttamiseksi kulloinkin voimassaolevan lainsäädännön mukaisesti. Oy Winecellars Ab saattaa
olla velvoitettu säilyttämään henkilötietoja kirjanpitoa ja verotusta koskevan lainsäädännön
nojalla myös suhteen päättymisen jälkeen.
Rekisteröityneiden tietoja käsitellään pääasiallisesti paikallisesti organisaatiossa.
Rekisteröidyn oikeudet
Tietojen tarkastaminen, korjaaminen ja poistaminen
Rekisteröidyllä on oikeus tarkastaa hänestä tallennetut henkilötiedot. Rekisteröidyn pyynnöstä
Winecellars oikaisee, poistaa tai täydentää käsittelyn tarkoituksen kannalta virheelliset,
puutteelliset tai vanhentuneet henkilötiedot.
Rekisterin suojauksen periaatteet
Winecellars käyttää tarpeellisia teknisiä ja organisatorisia tietoturvakeinoja henkilötietojen
suojaamiseksi oikeudetonta pääsyä, luovuttamista, hävittämistä tai muuta oikeudetonta käsittelyä
vastaan.
Rekistereiden käyttöoikeus on yksinomaan yllä mainitulla rekisterin vastuuhenkilöllä tai
Winecellarsin valtuuttamalla yhteistyökumppanilla, joka tarvitsee tietoja hoitaakseen
Winecellarsin toimeksiantoja.
Tiedot on kerätty paikalliseen tietokantaan vastuuhenkilön työvälineille, joihin vaaditaan
käyttäjätunnus ja salasana, ja tiedot on suojattu teknisesti palomuurilla sekä päivitetyillä
virustorjuntaohjelmilla. Lisäksi niitä säilytetään lukitussa tilassa.

To finance its operations, the company also rents its premises.
Oy Winecellars respects the privacy of its’ shareholders, customers, personnel and stakeholders

Data content of registers and the sources of information
a) Shareholders
Oy Winecellars maintains a shareholder and share register in accordance with prevailing
legislation and monitors the interests of its shareholders. The company communicates with its
shareholders through telephone, mail, e-mail and other electronic channels.
Share and shareholder register contains
• name of the shareholder or it’s representative, postal address, telephone number,
e-mail address
• invoicing and payment information
Personal information is used in accordance with the law for
• billing and payment control
• to send newsletters and other information and to contact keeping
The information is collected manually.
b) Data for administrative use and obligations
To fulfil its obligations, Winecellars keeps records and certain data of personnel for administrative
purposes and according to existing law. The Accounting Office authorized by Winecellars and the
company's auditors have some access to this information in order to carry out their mandate.
c) Renting premises
Winecellars also rents its premises to non-members. The data of these customers are stored in the
billing system and are maintained for the period prescribed by the Accounting Act.
Winecellars receives inquiries through a rental service provider. These customer information
remains in electronic management program of the provider.
d) Google Analytics, websites and other communication channels
Winecellars maintains its homepages and other social media channels for communication
purposes. To the closed group of Winecellars are only members invited. For security reasons, also
some administrators have access to the sites.
Winecellars might use Google Analytics (GA) to track information on user behaviour, number of
visitors using the sites etc. However, of this is no personal data collected by or for Winecellars.
Oy Winecellars Ab handles personal data according to following principles
Data retention time
Winecellars stores the registered data as long as necessary for the purposes defined above, in
accordance with current legislation. Winecellars may be required to retain personal data under
the Accounting and Taxation Act also after the termination of the relationship.
Registered Rights
Verifying, Correcting, and Deleting Data
The registrar has the right to inspect personal data stored on him. At request Winecellars corrects,
removes or supplements the defective, defective or out-dated personal data for the purpose of
the processing.
Principles of registry protection
Oy Winecellars Ab uses the necessary technical and organizational security tools to protect
personal data against unauthorized access, disclosure, destruction, or other unauthorized

access to the registers to handle Winecellars’ obligations. These authorized parties are bound by

The information is mainly gathered in a local database on the administrator’s work equipment,
protected by username and password and it is technically protected by firewall and updated
antivirus software. Equipments and information is stored behind lockers.
